As we continue to monitor COVID-19 trends and the recent uptick in cases statewide, we want to remind each of you to stay diligent in protecting yourselves, co-workers and loved ones. We respect the fact that it is a personal decision but we continue to encourage employees and trade partners to get the vaccine if you have not already. The national trends are a reminder that COVID is still a threat and that we cannot let our guard down.

In response to Governor Abbott’s recent executive order, RO job sites and offices will continue to operate with current policies and procedures that have been implemented in response to COVID-19. It is in the best interest of our employees, Clients and Trade Partners that we do not let our guard down. The levels were made on the basis that participants were taking as many safety precautions as possible, regardless of the activity.

Protecting yourself from the spread of COVID-19 continues to be a priority. RO wants to share additional tips to remain safe during this time. View the video below for some insight on the importance of keeping your phone clean - something we don't always think about!

Protecting yourself from the spread of COVID-19 is as important traveling to work as it is at while at work or home. Due to the highly contagious nature of the virus, it’s important that everyone does their/our part to ensure that we are protecting ourselves, our co-workers and in turn, our families and the general public. Preventing the spread of COVID-19 starts before we all reach the job site and throughout our time on the job site.

Recently, we have seen a spike in COVID-19 cases involving employees who were carpooling. We ask where possible, that employees use personal transport to reduce the numbers travelling in vehicles. If employees must travel in a vehicle with other people, we ask you follow this temporary guidance to help prevent further cases. All RO employees and Trade Partners are required to wear face coverings while working. Trade Partners working on RO job sites are required to supply effective face coverings to to their employees and must require them to use them while working on RO projects no later than April 17, 2020. Rogers-O’Brien continues to monitor the current situation with the Coronavirus (COVID-19) outbreak and is reviewing all pertinent information as it relates to our employees, Clients and Trade Partners. Our goal remains to always keep everyone as healthy and safe as possible. The RO COVID-19 Task Force, led by Mike Orr, RO Executive Vice President, continues to meet daily to assess the situation and work to minimize disruption to our projects, while keeping safety the number one priority.

As of Wednesday, March 25, the following Texas cities and counties have issued shelter-in-place guidelines: Austin, Bell, Bexar, Brazos, Collin, Dallas, Denton, El Paso, Fort Bend, Fort Worth, Harris County/Houston, McLennan, Rockwall, San Antonio, Tarrant, and Waco.

These Orders allow certain Essential Business and Critical Infrastructure Work, including Construction, to remain ongoing.

If RO employees are required to travel to a specific Project Site or Regional Office, letters indicating that you are performing work for an Essential Business or Critical Infrastructure project have been distributed accordingly. 

We have implemented protocols to ensure the safety of our employees, trade partners, clients, and their families. Please refer to the below actions that have already been put in place.

*** RO COVID-19 Protocols ***

To Our Clients

We ask that all our Clients, their consultants and representatives join us in limiting potential exposure at our job sites, offices and meetings. 

You and Your Family’s Personal Health

There is no substitute for good personal hygiene practices: 

If you are ill or have ANY flu-like symptoms, STAY AT HOME. 

If you feel that you need to work from home, we will consider this on a case-by-case basis. While not all positions are conducive to telework, those positions with primary job duties that can be effectively performed remotely will be given consideration.  Check with your direct supervisor if you feel it is necessary for you to work from home.

Limiting Exposure

As you have heard, the virus spreads very easily from person to person.  We want to reduce any potential exposure to you and others by limiting as much close contact as possible: 

Should you conduct personal travel in a Level 2 or Level 3 region as defined by the CDC (https://www.cdc.gov/coronavirus/2019-ncov/travelers/index.html), please follow CDC Guidelines and self-quarantine for 14 days upon your return; do not return to work. Day 1 of the self-quarantine should be considered your first day outside of the affected region. Please notify Sarah Rathborne, upon your return. If you have conducted any personal travel to any region or if you develop symptoms of illness, please stay home and seek medical expertise until you are cleared to return to work. 

If you have had potential exposure to the virus or if you experience any Coronavirus symptoms, please report that information to Sarah Rathborne immediately.  We are requesting that employees report any level of potential exposure to COVID-19 to Sarah, so that we can make well-informed decisions to support the health and safety of all our employees and business. 

Job Site Office and Main Office Cleaning:

All job site offices and regional offices should be deep cleaned and sanitized once a week.

All Clients, Architects, Consultants, and other Client representatives are asked to follow the same protocols listed below for their employees.

We request that no employee or representative of the Client be allowed on the job site or an RO Office if they are ill, have been exposed to COVID-19, traveled to a Level 2 or 3 region or is experiencing symptoms that could be related to COVID-19. 

Avoid close contact with people who are sick.

Cover your cough or sneeze with a tissue, then throw the tissue in the trash.

Avoid touching your eyes, nose and mouth.

Clean and disinfect frequently touched objects and surfaces.

Wash your hands often with soap and water for at least 20 seconds.  

It is critical that you do not come to work while you are sick. Currently, the CDC recommends that employees remain at home until at least 24 hours after they are free of fever (100 degrees F or 37.8 degrees C) or signs of a fever without the use of fever-reducing medications.

Until further notice, we will provide paid sick time to all employees (including hourly employees) who are unable to work due to illness.

Employees who report to work ill will be sent home.

Notify RO Human Resources immediately if you are monitoring symptoms for COVID-19 under the care of medical instruction.  

Effective immediately, there shall be no business travel unless specifically authorized by your Regional President.  This includes travel to other regional offices.  It also includes travel to conferences, conventions and events.

Until further notice, there shall be no large (more than 10 people) non-essential meetings unless specifically authorized by your Regional President. 

If anyone at your office or job site is confirmed to have contracted the Coronavirus, notify Sarah Rathborne immediately.

Utilize virtual meeting tools that minimize the need for large gatherings. We have video conference tools such as ZOOM Meetings or Microsoft Teams for this purpose. 

“Exposure” is considered to be: anyone that you come in contact with (family, friends, or other persons you have come in contact with) who is being tested for COVID-19 (confirmed and unconfirmed), or was exposed to someone who is being tested for COVID-19 (confirmed and unconfirmed). We will evaluate each of these situations on a case by case basis as to the proper response protocol.   

Regional Operation Directors will provide office cleaning resources that will follow a sanitization protocol to ensure each office is thoroughly sanitized each week.

Between these deep cleanings, it is the responsibility of each office to frequently clean and disinfect high contact areas of the office such as phones, keyboards, mouse, doorknobs, break room and conference room tables, etc.  This cleaning should be done at least daily.

All job sites will be provided additional hand sanitizer stations.  More can be provided if necessary.

All Trade Partners shall be required to follow the same protocols as above for their employees unless their written, provided, protocol is deemed more rigorous than Rogers-O’Brien’s.

No employee of any Trade Partner will be knowingly allowed on the job site if they are ill, have been exposed to COVID-19, traveled to a Level 2 or 3 region or is experiencing symptoms that could be related to COVID-19.
